The situation

Obeya Boards sells physical Obeya boards to large organisations like KPN, ProRail, ING and the Dutch National Police. It's part of a group of three business units — Obeya Boards, Leading with Obeya and Obeya Coaching — that share one central Zoho CRM. But the sales process ran on scattered tools and manual work: requests came in through different channels, quotes were drafted separately, stock wasn't tracked centrally, and there was no reliable link to the group's CRM.

The need

The need was one central system for the entire sales process, from first request to delivery — with real-time inventory, fast quotes through a product configurator, a CRM for clients and contacts, and an accounting integration (Moneybird), including invoicing for international clients.

What we built

A fully custom backend where sales, inventory, CRM and invoicing come together — with a seamless link to the group's central Zoho CRM, without duplicate work.

  • Sales pipeline (Kanban): request → quote → order → shipped → delivered, drag-and-drop with a per-request activity log
  • Product configurator: fast price calculation including variants and options, generate a quote in one click
  • Inventory: products, categories, attributes, suppliers and purchases in one overview, with low-stock alerts
  • CRM module: clients, contacts and service requests tracked centrally
  • Integration with the group's central Zoho CRM, in sync across Obeya Boards, Leading with Obeya and Obeya Coaching
  • Moneybird integration for invoicing, including international clients
  • Role-based user management and an audit log of who changed what and when

The result

Much less time spent on manual quoting and stock tracking. One system instead of scattered spreadsheets and tools, with full sales visibility from first request to delivery. The new system works seamlessly with the group's existing central systems instead of rebuilding everything from scratch.
