Website and back office in one
From WordPress + Excel + a separate mailing tool to one workspace for sessions, courses and communication.
The situation
Heart in Communication (Cordelia Addison, a CNVC-certified NVC trainer and mediator) ran on a WordPress site with no connected back office. Scheduling sessions and courses was complex and error-prone, course rosters lived in Excel, and every confirmation, reminder and course email was sent by hand. The newsletter ran on a separate tool (MailBlue).
The need
The need: fewer scattered emails and manual steps, a clearer planning process for both one-on-one sessions and group courses, and one overview of appointments, participants, payments and communication — without losing the personal tone.
What we built
A website connected to a fully custom backend where scheduling, courses, payments and mailings all come together.
- Appointment management for one-on-one sessions (list and calendar view, with statuses like confirmed/cancelled)
- Course and group management: courses, groups, enrolments, categories, locations and trainers
- Client management with per-client overview and booking count
- Built-in email marketing with campaigns, templates and subscriber management
- Automatic confirmation and reminder emails per course group, with open and click rates
- Payments, tasks and a dashboard with monthly/yearly revenue, split by courses and one-off sessions
The result
No more manual course emails — confirmations and reminders go out automatically per group. MailBlue became redundant: the newsletter now lives in the same system as the rest of the business. From Excel lists to one live overview of courses, enrolments and revenue — less manual planning and follow-up, more calm and structure.
